A recommendation request that dumps your life story is a request to invent a student. The writer already has limited time. A busy expert needs a framed ask: will you write, by this date, emphasizing these facts you actually know about me.
Give them a packet as a briefing. Leave the anxiety session off the page.
Facts they can put in a letter
Program or job. Deadline, with the time zone the portal uses. How they submit — link, email, campus form. Two or three things they personally saw: the paper they graded, the lab they supervised, the class they taught. Respect their time by not making them open five folders to find a date.
Say what you will not invent. If you did not lead the project, do not ask them to say you did. If your assistant drafted a glowing paragraph about a prize you did not win, cut it. A recommender who copies an inferred claim spends their credibility, not just their afternoon.
If a fact is still a guess — "I think the portal closes at 5pm Eastern" — label it. They should not miss a deadline because your model rounded a time.
One ask: will you write
The decision is yes, no, or yes if you send the missing form by Friday. That is the whole list. "Would you be open to possibly writing something if you have time" is how letters start late.
Set an honest deadline that is earlier than the portal. Name what you will do if they decline: you will ask the other person you already named, or you will submit without a third letter if the program allows it. A writer who can see the exit is more likely to answer.
Do not send a follow-up that restates the life story. If you need to nudge, send the date and the link again — follow up without nagging is the other half of this.
You approve every sentence
Draft the briefing with your assistant. Read it as the writer will. Confirm the send. Words that ask someone to stake their name on you are not auto-sent.
They do not need an account. Email and a link are enough. If they already have RelayLink, you need an accepted contact.
No attachments. Transcripts, rubrics, and the form live in the places those systems already use. The briefing is the ask and the facts.
Nicknames stay private unless you share them. Write the name they use on the course page, not the private label in your contacts.
If they block you, you will not be told. Ask the next writer on the date you named.
When the packet is short enough to accept in a line, connect your assistant and send the briefing instead of a midnight autobiography.
