How a travel planner gets a couple to lock one trip decision

The hotel will hold the rooms until Wednesday. The couple liked both outlines and have gone quiet. Your assistant wrote a brochure. A brochure is not a hold. Wednesday is a hold.

Two itineraries, one clock

Name the decision. "I need you to choose the coast week or the city week. I release the other hold on Wednesday." That is an honest deadline because it is the vendor's.

For each option: nights, the one constraint that differs โ€” travel day, walking, a reservation you cannot move โ€” and what they give up. Then your recommendation and the fact that would flip it. Do not send five destinations. Five destinations is a discovery call.

Write for the partner who missed the call

Assume one of them was not there. Put the dates, the airports, and the hard constraints in words a cold reader can use. You assumed they still want the anniversary week. You assumed both can take the Friday. You assumed the child-free version is still the brief. Label those.

Address the person whose inbox you are using. Say you will not treat a reply as both of theirs until they say the other has seen the same two names. If you have both addresses, send the same ask twice, or send once and let them carry it.

You review the wording. They can answer from the email. A sufficient reply is coast or city, and whether both have seen it. If only one has, hold the release โ€” or honour the Wednesday you wrote, and say so up front.

After they choose

Write back the locked week and the holds you will keep, and ask them to correct that sentence. Then drop the other outline. A second "just in case" hold is how you spend credibility with the vendor and confuse the people who have to pack.

The trip can still change later. This message is the week you are actually booking.
